🗂 LifeKeeper — AI Life-Admin Renewal Agent

Kaggle × Google AI Agents Capstone · Track: Concierge Agents / Agents for Good

One-liner: A four-agent pipeline that ingests life documents via Telegram, extracts renewal deadlines with Google Document AI, stores them in long-term Firestore memory, and proactively initiates renewal flows — with human-in-the-loop safety gates on every action.


The Problem

People routinely miss passport renewals, insurance lapses, and voided warranties — not from carelessness, but because expiry dates are scattered across physical documents, emails, and PDFs that are never revisited until it is too late. No single system watches all of them proactively.

The Solution

Photograph any life document and send it to LifeKeeper on Telegram. The system:

  1. Reads it — Google Document AI OCR (Gemini vision fallback)
  2. Understands it — structured extraction: type, expiry, owner, reference number
  3. Remembers it forever — Firestore long-term memory across sessions
  4. Watches the horizon — a daily scheduler reasons weeks/months ahead using per-document urgency tiers
  5. Acts when you're ready — generates a renewal packet (checklist + the issuing country's official renewal URL + an .ics calendar file), then hands control back to the human: inline buttons close the loop (renewed / snooze / stop tracking)

The same agents are also defined as a Google ADK multi-agent system (root agent + specialist sub-agents with tools) in app/adk_agents.py — runnable with adk web app/.

Key design decisions

  • Tier-crossing notificationslast_notified_tier means the daily cron notifies only when urgency escalates (null → early_warning → final_reminder → overdue), never spamming.
  • next_check_at indexing — the scheduler queries WHERE next_check_at <= now() (composite index) rather than scanning every document. Scales.
  • Confidence gate — Document AI confidence < 0.7 forces user confirmation before anything is persisted. Low-quality extractions are never silently saved.
  • Human-in-the-loop by construction — the packet prepares the human; the inline buttons (renewed / snooze / stop tracking) only change LifeKeeper's own future behaviour. The agent never automates third-party portals — no browser sessions, no form submissions on government or insurer sites.
  • Calendar mirror — the packet's .ics file is generated from the same urgency-tier boundaries the scheduler queries, so the user's own calendar carries an offline copy of the agent's reminder logic.
  • Country-aware playbooks — the Extraction Agent reads the issuing country off the document (asked once as a fallback and remembered per user), and the packet links the right official renewal site (gov.uk, ICA, travel.state.gov, …).

Security (Design Doc §6)

  • Secrets: all in Google Secret Manager, injected via Cloud Run --set-secrets. Nothing in the repo — verify with git grep -iE "api_key|token" -- ':!*.md'.
  • Least-privilege IAM: single service account with only datastore.user, documentai.apiUser, secretmanager.secretAccessor.
  • Input validation: MIME whitelist (PDF/JPEG/PNG), 10MB hard cap, enforced before any paid API call.
  • Webhook security: Telegram webhook path embeds a SHA-256 hash of the bot token — unguessable URL — plus Telegram's official secret_token header (registered by deploy.sh, verified with constant-time compare). Scheduler endpoint requires a shared secret header; /mcp/tools/* endpoints require the same token via X-API-Token.
  • PII: Firestore stores extracted fields only, never raw document bytes. The packet's calendar file is generated on the fly and sent straight to the user — nothing is stored anywhere.

Security testing

Red-team experiments run against the live bot (attack → designed defence → observed result):

  • GCP project with billing enabled, gcloud CLI authenticated
  • Telegram bot token from @BotFather
  • Gemini API key from AI Studio (or omit to use Vertex AI ADC)

Project Journey — what changed along the way

The design doc we started from is not the system we shipped. The honest diffs:

  1. The renewal packet grew up. V1 generated a PDF summary, stored it in GCS behind a 7-day signed URL, and gated it with an Approve/Cancel button. Testing it end-to-end exposed the truth: the PDF restated the Telegram message, and Approve flipped a Firestore status that nothing ever read again — a human-in-the-loop gate in front of an action that didn't exist. We replaced it with things that have consequences: an .ics calendar file generated from the scheduler's own tier boundaries (the user's calendar becomes an offline mirror of the agent's reminder logic), and lifecycle buttons — renewed / snooze / stop tracking — that actually change future behaviour. Renewed closes the loop; snooze re-arms the current tier a week out. The PDF, the GCS bucket, its IAM roles, and the signed-URL machinery were deleted, not just deprecated.

  2. Confidence was silently broken — and only a real phone photo caught it. Document AI's OCR read every test photo perfectly, yet every upload reported 0% confidence and tripped the confirm gate. Cause: the Document OCR processor leaves page.layout.confidence at its 0.0 default; the real signal lives per token. Unit tests with faked OCR could never have found this — it fell out of testing against the live API. The fix averages token confidences (app/agents/ingestion.py).

  3. One country was a hidden assumption. The playbook hardcoded UK renewal URLs. Rather than ask users where they live (wrong signal — an SG citizen in London still renews with ICA), the Extraction Agent now reads the issuing country off the document itself, with a one-time ask as fallback, remembered per user. Playbooks are keyed by (doc_type, country).

  4. Typing gave way to commands. Free-text intents ("generate my renewal packet") stayed, but /expiring, /packet, and /help are registered with Telegram's menu, and reminders carry the lifecycle buttons — most flows now complete without typing anything.

Limitations & Roadmap

  • Pre-filled official forms (DS-82, DVLA D1) — the packet is currently a checklist + official link + calendar file (template_matched: false, surfaced honestly to the user)
  • Official renewal URLs cover GB/SG/US/AU passports and GB/SG licences so far — unknown issuing countries get the generic checklist
  • Email (SendGrid) / SMS (Twilio) channels — notify() is channel-agnostic by design; Telegram only for now
  • Web upload path — the ingestion endpoint is source-agnostic and ready for it
